Communication is best achieved through simple planning and control. To ensure an efficient and effective conversation, there are three considerations. Thus you must learn to listen as well as to speak. When others are speaking, you should deliberately ask questions to yourself to establish the context in which they are thinking.
While in communication there should be an objective to achieve thus fulfilling the purpose of the communication. Acknowledge what is being said by showing an understanding of the position, or by simply replaying it. Silence is effective - and much under-used. People are nervous of silence and try to fill it.
You can use this if you are seeking information. You ask the question, you lean back, the person answers, you nod and smile, you keep quiet, and the person continues with more detail simply to fill your silence. In any organization, "meetings" are a vital part of the organization of work and the flow of information.
They act as a mechanism for gathering together resources from many sources and pooling then towards a common objective. There is often a tendency to view meetings as a little relaxation since no one person has to be active throughout.
The purpose of an agenda is to inform participants of the subject of the meeting in advance, and to structure the discussion at the meeting itself. To inform people beforehand, and to solicit ideas, you should circulate a draft agenda and ask for notice of any other business.
Employment counselors are well aware that communication skills are in demand in the workplace. Language is a powerful force. People in the workplace need to communicate quickly and effectively in messages sent by e-mail and handheld instant messaging devices; in meetings and dyadic encounters; and, of course, in letters, memorandums, and reports.
In this study, I analyzed the survey responses of 104 Silicon Valley employers regarding their satisfaction with the communication skills of their newly hired college graduates.
Results showed that employers were less than satisfied with overall communication skills of their new hires and recommended that students receive more training in both oral communication and written communication skills.
In addition, they indicated the need for increased facility in using electronic media, such as e-mail and PowerPoint, and training in self-expression and promoting a positive self-image.
Research shows that people employed in business require strong speaking and writing skills to manage multifaceted and rapidly changing environments (North & Worth, 1998). Electronic communication calls for high levels of writing skills and the ability to communicate precisely. Writing style must be concise and direct, and assiduous editing is required to achieve this. Both employment counselors and professors need to understand the strengths and weaknesses of their academic programs; better educate their students to prepare them to work in fast-paced, high-tech environments; and help students maximize the return on their educational investments.
