User Department Identifies the requirements and fills in the Purchase Requisite Form (PRF)
Advance is paid based on the terms stated in PO. Cheque is signed by the COO and Chief Accountant
PRF is scanned and then sent to the commercial department via mail
Commercial department sends the request for quotes to the existing vendors
Once the quotes are received either via mail or verbally the commercial department prepares a comparison sheet
PO is raised and given to the accounts department for advance payment
COO approval is taken (Verbally)
Based on the comparison sheet a suitable vendor is selected

Goods are sent by the vendor and are received at the respective store house
On the confirmation of the receipt of goods (through invoice sent) by the ware house manager the accounts department makes the final payment

Store Manager Physically verifies the material and records the same in his register
Is there any discrepan cy in the materials received? No
Store Manager makes the necessary changes in the delivery challan.

Security guard then records the details of the challan in the security register
Store Manager acknowledges the receipt of the goods and hands over the delivery challan to the security guard
