Strategic Planning:
First point of Strategic Planning is a vision and what is a Mission Statement? The communication to the company make to the shareholders, stockholders, and customers. If the mission is not clearly stated, things will seem unclear to others and members will feel the organization is getting into something not beneficial.
When taking on a new account at Keefe Commissary, the Vice President sits down with the Regional Manager and Account Manager. They look over the outline of the Institute; how many inmates are housed, race, gender, and religion. They think of what type of products to offer. If the location will allow a delivery system, better quality and service and/or delivery service then competitors; Technology needed that competitors didn’t offer, and past success with prior institutions. Then the salesperson is sent out to bid on that jail by showing the institution what products are offered. Quality of service, the on time delivery service and the success with other facilities in area or other states. The salesman is to out bid the competition but not underbid. We offer more products and always adding more lines of products to satisfy everyone. Build a trust with the staff and an understanding that we will stand by every order purchased.
The Vice President, Regional Manager, and Account Manager are the vision of the strategic planning because they set the plan up and think it through before making the decision to move forward. The wrong choices and quick decision will hurt your organization in the future. Customers will not be pleased if choices are limited. The salesperson is then sent of offer services and products offered by the company. Find out which products are safe to use and ones that are not allowed.
Next is the Account Manager will go to the institution and see what the layout of the institution is like, see how the company can come in and set up. If there is a room the employees can use to issue products, is there a warehouse or storage area for products shipped from various warehouses. See how many employees are needed to staff it and get a one on one relationship with the staff. Check to see if facility will allow deliveries and between which hours. When it is decided which products will be sold to the inmates, the Account Manager will have order forms made with each product offered and prices.
The Account Manager’s mission is to establish the organization plans as well as undo anything the competitors before had establish. Spend time on the jobs training and bring in Technicians to install the software that will improve service and performs.
The purchasing agent must then order products to shock the warehouse so orders will be filled. The purchasing agent sits down with the Account Manager and they figure the prison population usage of each product that gives the purchasing agent the right amount of product to purchase. Vendors are located by the agent and prices are then compared. The vendor with right pricing and quality product is then selected. A memo is sent over to the warehouse indication any changes in product or new ones on line as well as announcement of new facility.
Once the order is received by the vendor, the vendor either calls a trucking company for delivery or they have their own. The vendor calls the warehouse to set up a delivery appointment (Time and Date). That appointment is entered into the computer and documented. Upon delivery that day it is unloaded and staged for inventory count, after counting shipment it is tagged and stored in Rack of Bulk area when needed.
Next step is for it to be stocked on shelves for orders to be filled. Stockers are individuals assigned to retrieve products from assigned areas and place them on shelves. Then the Order puller will complete the order given to them by pulling the number of products ordered from the shelves and placing in a bag and boxed for shipment. The boxes are stocked and wrapped for security and place in the Shipping Area.
Shipping Clerk calls the truck lines assign to deliver to the facility area with count of skids and pickup time. It is then loaded onto the trailer and sent out for delivery. The customer then receives the order the next day on time.
