The project is about A Study and evaluation of management and importance
of an event ?SAMUHIK VIVAH? (mass weddings)-Case study of Ozar trust,
Lenyadri Trust and Kulswami Khanderai Trust, Junnar, Pune).
As per clause (340, ?Event management? means any service provided in
relation to planning, promotion, organizing or presentation of any arts,
entertainment, business, sports or any other event and includes any
consultation provided in this regard. Events are leisure activities and work
possibilities for people. Events bring people together making good memories.
They enhance the quality of people‘s life; they provide significant economic
benefits and can also provide revenue for special projects.
The findings clearly state that Samuhik Vivah has proved to be the best option
for marriage for low income group as well as high income group. It results in
optimum use of resources and has proved to be beneficial for the
organizations organizing such events and the society too. Also it has proved
to be a worthy investment.
Usually marriages of private scale cause heavy expenditure, but these kind of
marriages are done at affordable prices which has benefited people belonging
to not very higher class preventing the gap between poor and rich.
The main idea behind the case study of Samuhik Vivah is to know get detailed
knowledge about the event management of this tradition; also to know the
important facts and benefits that this ritual has created. The survey was
mainly to know the policies that the organizations implement to organize such
events and to understand the strategies they use to manage such events on a
large scale with regard to time management.
The study has been only done about organizations in Junnar (Pune) who
organize such events of Samuhik Vivah very frequently, that is, The Ozar
trust, Lenyadri trust and Kulswami Khanderai trust, Junnar-Pune. The
important terms covered in the project are planning, managerial skills,
promotions, leadership and time management.
The organizations were personally visited and interviewed about their way of
organization and all the important facts about their organization. The couples
who got married in such a way through the organizations were also personally
visited and they shared their experience of getting married through Samuhik
Vivah and their overall views about Samuhik Vivah.
All the data is collected by personal visit in the form of interviews and
questionnaires. 50 couples and the higher authorities of the organization were
interviewed to have a complete review of Samuhik Vivah for the project.
After the survey, it has been noted that Samuhik Vivah is conducted for social
cause by the organization and not for the motive of making profit. The reviews
from the couples have also been positive and highly satisfactory. Many of
them have also influenced their near ones to undertake this way of conducting
marriages.
Many people are not aware about Samuhik Vivah. Such ideas of conducting
weddings should be promoted in order to benefit the society on a greater
scale. The main motto of the study is to spread the word that Samuhik Vivah
is a very good, easy, tension-free and profitable way of conducting marriages.

Event Management involves studying the intricacies of the brand,
identifying the target audience, devising the event concept, planning the
logistics, coordinating the technical aspects before getting down to actually
executing the modalities of the proposed event.
The recent growth of festivals and events as an industry around the
world, means that the management can no longer be ad hoc. Events and
festivals, such as the Asian Games or the Dubai Shopping Festival, have a
large impact on their communities and, in some cases, the whole country.
The industry now includes events of all sizes from the Olympics down
to a breakfast meeting for ten business people. Every industry, charity, society
and group will hold events of some type/size in order to market themselves,
raise money or celebrate.

There are 2 stages of event management process namely, Event planning
and Event control.

To plan an event we must consider the following areas of an event, viz,
feasibility, promotion, site choice/design, staging, shutdown, site map, event
proposal.

To control an event we must look on the following areas logistics,
negotiations, costing & cash flow, event manual, I.T., decision making
and change, risk management.


A}. PLANNING THE EVENT
A significant part of event project management is the planning. It is a
process of mentally fitting all the components together. It includes foreseeing
any problems and solutions. However, to see all the problems is impossibility.
It is more realistic to regard event planning as a method of reducing the
number of problems. In this sense the aim of event planning is to plan all the
tasks that can be planned so that changes and unforeseen problems can be
dealt with in a focused way. Although most aspects of the event can be
organized, the fluidity of event preparation means there is always the
unexpected.

comparison of the choices - options or models. The comparison must use the
same aspects of the event.
2) Event Promotion
In the world of marketing 'promotion' generally refers to a one-off event
that provides a stimulus for the public to buy a service or product. A special
event can be part of a more general promotion campaign of a company
wanting to draw attention to their product. The Absolut Vodka venue at the
Opera House during the Sydney Festival was an example of this. A local
council may create a festival as a way of promoting their region. As used by
the event industry the word promotion has come the full circle. It uses all the
marketing techniques. As it is project based it has a definite life span. The
risks involved in one off or first time events mean that the event manager has
to be acutely aware of the tools of promotion. The audience does not have a
reference point for the event other than that created by the promotion. With
repeat events and festivals the audience and suppliers have at least an idea
of the type of event, venue and scale. For special one off events, the
promotion is strongly linked to the reputation of the organizing company,
sponsors and other stakeholders as well as the actual program or event
content.
As with all areas of event management, event promotion must be
dynamic and able to respond to opportunities as they arise. Other areas of the
event planning should also be able to respond to the unforeseen products of
promotion. A good bit of PR can result in a surge of interest in the event and

3) Site Choice And Design
While selecting a site/venue for an event, we have to look into for
following considerations,
o Size of the event – Large scale or on a Medium or for a shorter scale
event has to be carried out.
o Location – Distance, accessibility, neighbours, history of other events,
suitability to the event, etc. are the factors to be considered under
locating a venue for an event.
o Design of the site – Site/venue design is an essential part of event
management. The temporary nature of events means there is limited
time for corrections to the design. Therefore the event manager cannot
forget that any element of design has an aesthetic as well as logistical -
or practical - function.
o Layout of the venue – points to be considered are facilities to be
provided, size and shape of the room, viewing potential, flow of men
and material, etc. while deciding a site.
o Flow of people and equipment - Although it seems obvious, the flow of
people and equipment around a site is often not considered over the
whole event. In particular there are different flow patterns at deferent
times. As well the event manager must be aware of the 'flow' during an
emergency.
4) Staging
The staging of an event involves bringing together all the event
elements around a theme. It is where the 'action' takes place at an event -
where the audience looks. Staging is the heart of event management- it is
basically the 'show'. All other aspects of event management surround it. The
elements of staging revolve around a theme. It could be Children's Circus, the
Blues tent or a corporate dinner party theme. However the theme has to work
within constraints - available resources, what the client expects. The efficient
management of events is dependent on deciding what is most important in the
given time span- i.e. priority. Different types of events place different
emphasis on the staging elements. The staging is all about the
guest/audience experience of the show- whether the 'show' is a sports
competition, fun run or performance. An event manager doesn't need to know
all about lights, sounds, audio-visual effects, special effects, etc. - but it is
imperative that the manager at least knows the special terms used.
5) The Event Proposal
A response to a request for tender is a common way for an event
company to obtain work. In some cases it is the only way a new event
company can enter the field. Government and semi government companies
are required by law to put their needed supplies and services out to tender.
Most private companies will do this as a matter of good business to make
certain they are receiving competitive quotes. The event industry is no
different. An event company will put together tender documents in much the
same way as any other supplier. Depending on the quality of their work they
may be placed on a preferred supplier list and regularly asked to put in a
tender. This can be an arduous task as the event company does not want to
be dropped from the preferred supplier list but may not want the work.

space. It sounds obvious but it can be easily overlooked. The place of the
event can create so many problems and provide so many opportunities. All
the event managers place the site of the event as their highest priority. Most
event mangers will not bid on an event unless they have carefully looked at
the site. Professional conference organizers will stay a few days in the
conference hotel venue just to make sure that nothing is overlooked.

7) Planning and Control Documentation
It is one thing to plan the event it is another to communicate this plan to

saying). As long as the details of any event are in the head of one person
there is this risk. The results of the project management process are
documented as various schedules, responsibility and action sheets. Each
event company has evolved their own style of sheets.

1) Logistics
Logistics is both a science and an art. It is also a convenient way of
classifying an aspect of event management. In logistics the areas of
importance to the events are supply, transport, linking, flow control, and
information network.

Each of these elements can be thought of as contributing to the
sourcing and flow of the customers. They all require a checklist. The event
product can be intangible as well as tangible items. However they all need to
be supplied efficiently to the event. The facilities are the third element that
needs to be analyzed in logistical terms. Supply - sourcing and flow - both to
the event, around the event and out of the site.


2) Negotiation
It seems obvious but it is often forgotten - an event is a one-time
occurrence. Every year the annual festival is different. Change is fundamental
to event management. Change will mean entering into different business
relationships for every event. The result is that negotiation skills are
fundamental to event management. Negotiation does not mean tricky dealings
- it means coming to a mutually satisfying business arrangement.

3) THE EVENT MANUAL
The Generic Manual
The manual can serve as both a list of procedures to successfully plan
and implement the event, and a record of the procedures. It is part of the
intellectual capital of an event organization. The discipline involved in creating
a manual can assist in the systematic planning of event operations. Many
large companies have a generic operation and logistic manual that can be
used in similar events organized around the world. Of all the areas of event
management, the exhibition industry has created the most comprehensive
event operation manuals. These manuals can take the event manager from
the idea of an exhibition through the suggested marketing schedule to
sourcing venues and creating floor plans. As they are going to be used with
different operation teams, such areas as common terms and definitions and a
plan for the filing system (both digital and paper) become an important section
of the manual. These manuals can be set up on the web or the company
intranet and become part of their knowledge management system.
In general the manual is the document outcome of the project
management process. The event operation manual can vary in its content. It
is the result of the project management process combined with experience
and advice- no matter how informal or unstated.

INTRODUCTION TO SAMUHIIK VIVAH (MASS
WEDDINGS)



3.1 INTRODUCTION

WEDDING:
A wedding is a ceremony where people are united in marriage.
Wedding traditions and customs vary greatly between cultures, ethnic, and
grooves, religions, countries and social classes. Most of the wedding
ceremonies involve an exchange of wedding vows by the couple, presentation
of a gift and a public proclamation of marriage by an authority figure or leader.
Special wedding garments are often worn, and the ceremony is sometimes
followed by a wedding reception. Music, poetry, prayers or readings from
religious texts or literature are also commonly incorporated into the ceremony.


SAMUHIK VIVAH (MASS WEDDING):
Samuhik vivah or mass wedding is a marriage ceremony in which
several couples are married at the same time. Samuhik vivah is mostly
conducted by trusts or NGOs, and Many organizations and trusts in the past
few years have taken up the activity of organizing Samuhik Vivah because it
has helped mankind to a great extent. The idea of Samuhik vivah is very old
and had been incorporated in 324 B.C. Not only in India, but Samuhik Vivah is
also conducted in Afghanistan, China, Iran, Japan, Jordan, South Korea, etc.
Since 7
th
November 1960 under the guidance of Sydena Taher Saifuddin
have been conducting mass weddings at several venues called as ?Rasme Saifee”.
This is the Muslim style of Samuhik Vivah.
Christians call Samuhik Vivah as ?Collective Weddings? and at a time more
than 50 couples get married in a church. The church that holds the collective
wedding is known as ?Unification Church?. Parish churches also regularly offer
collective weddings for their low-income congregants, at times in a partnership with
the secular government of that pre-dominantly Catholic Nation.
In the Philippines, mass civil or religious weddings are a common
phenomenon, and are often sponsored by governments and charitable groups as a
form of public service. Local politicians and sometimes celebrities participate as
common wedding sponsors at such mass rites, which enable couples to benefit from
formal state recognition of their unions.
























3.2 IMPORTANCE/PURPOSE OF SAMUHIK VIVAH

Samuhik vivah is mostly preferred for economic and social reasons such as
the cost for the venue, officiants, decorations and sometimes celebrations afterwards
can be shared between multiple families. In 2011, collective wedding ceremony in
India involved 3600 couples including Hindus, Christians, Buddhists, Muslims and
adivasi. Many of them were the children of poor farmers.
Samuhik vivah has no caste bars and is conducted in all castes-Hindus,
Muslims, Christians, etc. It also has no restrictions on any class, it is open for all. It
has proved to be a beneficial method for those who cannot afford to spend
thousands and lakhs on weddings. It has helped to reduce the gap between higher
and lower classes. Not only lower class citizens, but also higher class citizens have
taken up this method of conducting marriages because not only it is money saving
but also a tension-free idea. No citizen finds himself low because the marriage is
conducted at the same level with the same kind of arrangements for each and
everyone.
Marriages now-a-days have become so expensive that even rich people
cannot afford to conduct marriages on a large scale. In this case, Samuhik vivah
holds an important purpose as the same arrangements can be done at an affordable
price. In Samuhik Vivah, optimum use of resources is done. Government too has
started supporting Samuhik vivah in different ways. They have introduced many
schemes.
All the facilities and arrangements are made available by the organizations,
so it is also a tension free task. One just has to attend the marriage without taking
any mental stress of arrangements. Some of the organizations and big politicians
have also taken up this method of conducting marriages for their children because
over the years everyone has realized that there is no use of spending so much
money and many people are dying out of starvation and unemployment. For the
reason of unemployment, many organizations have given permissions to school and
college going students to work part-time in order to make earnings in a right way.
3.3 PROCESS OF SAMUHIK VIVAH

FOR CLIENTS:


a) Prior Booking: The clients are supposed to book the dates of the
wedding well in advance in order to get availability and convenient
dates.

b) Advance payment: After making the bookings, the clients are
supposed to make certain advance payments according to the clauses
of the organization and the remaining payments according to the
clauses should be made.

c) Submission of documents: All the necessary documents regarding the
policies should be submitted before the given dates.

d) Confirmation of date: After all the formalities, the dates should be
discussed and confirmed.

A) PRE-EVENT ACTIVITIES:

The Samuhik Vivah event typically has a team based environment and a
project type of organization structure. Thus, responsibilities are assigned to the

required is divided among the team members. Once the preliminary discussions are
over, and the final concept is decided, the very first step is that the creative team
starts working on the designing. Then the Organization prepares a thorough
schedule after understanding the critical steps ad issues involved in that particular
event. The schedule is planned 3 months prior to the event. External agencies such
as decorators and caterers may be consulted at this stage to understand feasibility of
planned concepts. Then the Organization draws up a cash flow statement, a budget
statement and arranges budget allocation for the event.
Based upon the event requirements critical dates or deadlines are drawn up
and the best possible solution among alternatives to achieve these deadlines is
chosen. The organizers along with the decorators and workers should ensure the
completion of overall design, models of stages, visuals, lights, mandaps etc.
At this stage, the legalities of drawing up the contract, agreements and
finalization by signing of contracts between the organization and clients becomes a
necessity. Keeping the feasibility in mind physical design are finalized and
contractors begin work. Here fire, safety and insurance issues need to be taken care
of. All the necessary documents should be collected from the clients well in advance,
for example, birth certificates of the couple, photo ID proof, residential proof, etc.
A joint team of the concept creator and the main contractors then need to
check out the special-effects equipments and arrangements. At this time day-by-day
tracking of timing and finance has to be maintained with a feedback on possible
changes i.e. increase or decrease in expenditure on various items.
Finalization of cleaning, security, furniture (tables, seating, barricading etc.), décor
(flowers), communication (telephone), and other service hire contracts (couriers) also
take up the organization‘s time at this stage. The project manager handles the
progress report and gets contingency plans drawn up.
Final visit for quality checks and control need to be made to the networking
components to ensure and confirm understanding. These typically include inspection
of dimensions of stage and other critical near finished models for accuracy by the
organization.
The overall coordinator along with the other team members needs to then
arrange for a briefing of site supervising staff depending on category and type of
event. It is essential that the entire briefing and interaction take place before the

Samuhik Vivah is a very popular act in Junnar-Pune. Most of the people take
up Samuhik vivah kind of event to conduct marriages. Also there are many
organizations and trusts in Junnar who have taken up this activity of organizing
Samuhik vivah events. The organizations here conduct best quality marriages at
reasonable and affordable costs. For this reson, locals of Junnar plan to conduct
marriages through these organizations.
The popular trusts in Junnar to organize Samuhik vivah on a large scale are:

These trusts have been organizing Samuhik Vivah since many years. Shree
Kulswami Khanderai Devasthan Trust Wadaj is the first trust to start with Samuhik
vivah events in Pune. It has conducted maximum number of weddings all over Pune.
These trusts provides spacious areas that can accommodate thousands of
guests and are rain and sunlight proof. These trusts conducts upto 50 weddings at a
time. They provide good quality food sufficient enough to accommodate the guests.
All the facilities such as, food arrangements, parking space, decorations, sound,
lights etc. are included in the fees.

PROFILES OF NGO


1. SHREE VIGNAHAR GANPATI DEVASTHAN TRUST OZAR
(JUNNAR,PUNE):
The trust started with Samuhik Vivah in 1990. When the first time they
conducted the event of Samuhik Vivah, only 5 to 6 couples of not very high
society had taken part. Till date, this trust has conducted over more than 6000
weddings successfully. The main motto of the trust for starting with such a
wedding plan was to help the lower class people and reduce the gap
between high and low class people.
The trust has 75 permanent employees to work for managing the
event. They work for the event only when the events are conducted, whereas
the rest of the time they work for the regular activities of the trust. These
employees have double duties on the day of the event and a day prior to the
event. The senior authorities in advance assign the employees with their
respective duties covering all areas. Apart from the employees, the senior
authorities also show active participation in making the event successful. The
main season of Samuhik Vivah in this trust is during the months of May and
June. During these days, more than 30 couples get married at the same time;
and at this period of time they out source co-ordinators. These co-ordinators
are secondary school students. They are paid Rs. 150 per day for working for
2 hours. Sometimes the trust hires them on contract-base paying them a
salary of Rs. 2000 per month. This scheme is called ?KAMVA AANI SHIKA?.
This is beneficial for the students in a right way to carry out their school
expenditures.
When the began with Samuhik Vivah in 1990, they had charged per
couple with Rs. 2500. This amount included all arrangements. But today, they
charge Rs. 18000 per couple for the marriage which includes all
arrangements of the wedding and food for unlimited guests.
Government has introduced a scheme called ?MAHILA BALKALYAN?
which helps poor people. In this scheme, Government gives back Rs. 10000
to the bridegroom‘s family on submission of certain necessary documents.
The documents include- proof of citizenship, copy of wedding card, birth
certificates and proof of no dowry taken by the bride‘s family. When the
bridegroom‘s family is given back Rs. 10000, government gives a separate
amount of Rs. 2000 back to the trust.
This time the event had been scheduled from 23

SPECIAL FACTS ABOUT THE TRUST:
The area of the hall is 30000 sq. ft. which can accommodate more than
20000 people at a time. It is protective of heat and the monsoon season.
Separate area for parking has been provided. Good quality of food for all
guests and separate area for food has been provided. The amount taken for
the wedding by the trust includes food, pandit, sound and lights, decoration
and all other necessacities.
Within 15 days of marriage, the trust hands over the marriage
certificates to the couples which is an important document.
2. SHREE KULSWAMI KHANDERAI DEVASTHAN TRUST
WADAS (JUNNAR, PUNE):

The trust started organizing Samuhik Vivah in 1974. This trust was first
in Maharashtra to start with Samuhik Vivah. They have completed 36 years.
This trust ranks first in Pune with the highest number of weddings conducted
that is more than 36000. The trust has a committee of 11 members. The trust
itself runs its own primary and secondary school as well as an ITI college. The
teachers of the school and college also work for Samuhik Vivah on the days
of the events. Only students of the ITI college work for the trust on the day of
the events. Students of the college get Rs. 150 per day for working 1-2 hours.
This comes under the ?KAMVA AANI SHIKA? scheme which helps the
students in carrying out their expenditure for college.
November to June is the period when the trust organizes events for
Samuhik vivah. The planning for the event starts in September. Till now, 43 is
the highest number of couples to get married at the same time. Maximum
2000-25000 people come to attend the event at a time. Booking starts well in
advance for wedding.
The trust charges each couple with Rs. 18202. After submitting the
required documents, the bridegroom‘s family can receive a refund of Rs.
10000 from the government under the scheme of ?MAHILA BALKALYAN?.
Once in a year the trust organizes a group wedding free of cost for the
poor ones who cannot afford to carry out the expenses but certain rules have
to be followed by those families.
The trust has received positive response from all over Maharsahtra for
conducting their event of Samuhik Vivah.

3. SHREE LENYADRI GANPATI DEVASTHAN TRUST (JUNNAR,
PUNE):

The trust started organizing Samuhik Vivah in 1998. Till today, more
than 1500 weddings have been conducted by this trust. The trust has 25
permanent employees. At the time of the event, the trust outsources man-
power. They hire 60 lady workers to work on the event days. The lady workers
are trained well before the event. The trust does not allow school students to
work for the events. Each time, more than 5000 guests come to attend the
weddings. The trust charges per couple with an amount of Rs. 18000. The
trust also follows the ?MAHILA BALKALYAN? scheme by the government. All
funds are included in the fees paid by the couples. No extra fund is required
or taken. The collected fund has always been enough for the wedding
management. People belonging to all classes get married in this trust. The
trust does not follow any class or caste bar.

Events are leisure activities and work possibilities for people. Events bring people
together and make them have good time. They enhance the quality of people’s life; they
can
provide significant economic benefits and can also provide revenue for special projects.
Regardless of size, events require a high degree of planning, a range of skills and a lot of
energy (Hillary Commission for Sport, 1997). According to Andersson and Wesslau
(2000),
when using events, companies get the possibility to have their own-right to the consumer
during the duration of the event. This means that if a company manages to get the
consumer
to attend the event, the distortion from the competitors will be gone or at least minimized
during the duration of the event. Also, events contain tangible elements, such as food,
beverages and other products sold or given away, but are essentially a service in that they
consist of intangible experiences of finite duration within a temporary, managed
atmosphere.

CONCLUSION:

Event management is a glamorous and exciting profession which
demands a lot of hard work and dynamism. As the name suggests, it means
conceptualizing, planning, organizing and finally executing an event.
As per the survey done, it is found that no matter how modern the
generation gets, some traditions and practices still exist in the society.
Samuhik vivah sounds an ordinary practice but holds great importance for the
society. Many organizations, though belonging to the urban areas, have
started promoting Samuhik vivah beause it is not only profitable but also used
for a social cause. It has made marriage ceremonies easier as compared to
the weddings held on a private scale. The organizations have also worked
towards helping the unemployed people by giving them right work
opportunities. The organizations have also taken up various schemes, for
example, the ?MAHILA BALKALYAN? scheme for the bridegrooms. The
organization have not started with this practice in order to earn money but to
help their own village people. They have been making improvements each
time they conduct a new event in order to achieve 100% success.
The couples also have given a good feedback about Samuhik vivah
and the organizations. As per the survey, all the arrangements of the venue,
the lights, sound, decoration have been satisfactory and as per expectations.
Also the food quality and quantity have been sufficient enough for all the
guests. The area is sufficient enough for all the guests to accommodate with
ease. All the arrangements and facilities provided are at a very low and
affordable cost. As said by the couples, it is preferable to recommend other
people too to undertake Samuhik vivah and that Samuhik vivah should be
promoted even more.
The future outlook of Samuhik vivah is that this might be an integral
practice for event companies because not only can they lower the operations,
they can also rip the benefits of partnering with a relatively related event
organizer to enable their event to scale to a greater heights.
