Joining formalities
Joining formalities involves various formalities, collection of documents and coordinating with other departments for administrative work which is explained as follows:

1) Joining Form:
Joining form includes the details like Joining date, designation, mentioning of educational certificates, bank account details, position, experience details etc.

2) Collection of various documents:
All the copies of educational certificates, company experience certificate and relieving certificates are to be collected. Candidates are asked to bring these copies with the originals, so that an HR representative can verify the same.

3) Induction schedule:
HR representatives make an induction schedule before the new joinee comes for the joining formalities. HR representative makes two copies of the same; one, for own reference and second, gives to the new joinee so that he/she can accordingly attend induction given by various department people. Where the induction is scheduled depends upon the position and plant in which an employee is joining. Induction Schedule includes: ? ? ? Session Timing Responsible Person.

4) Code of conduct & Principles of Action:
These are the two booklets given to the new joinee so that he/she can understand the code of conduct and action. Also, one copy of each of these booklets is signed by the new joinee on each page and is kept with the human resource department. This is done to assure that the employee joined would adhere to the code of conduct as mentioned in these booklets.

5) Offer Letter
Two copies of offer letter is made. One copy is given to the new joinee and the other copy (which is also signed by the new joinee in each page) is kept with the HR department for its record.

6) Personal Diary
New joinee is provided with a personal diary as a part of induction kit.

7) Induction Manual
Induction manual is given to the new joinee for the reading purpose. This is done to make an employee familiarize with the organization. This gives a brief idea about the company, its businesses, various branches, and HR policies are mentioned.

8) Passport Size photograph:
Three passport size photographs are taken from the new joinee for making ID card, for filing purpose and for PF & medical purpose. HR Representative Co-ordinates with various departments for formalities which are mentioned below: ? ? Time Office is responsible for the ID generation and PF & medical insurance. IT Department is responsible for e-mail ID generation.

HR representative guides new joinee about My Info. My Info is the internal information system of the employees. An employee has a unique log in ID and password. An employee can log in to know his personal information on this system. An employee can access: ? ? ? ? Leave status. Pass out apply i.e. if you are not in the plant and unable to fill the out pass, you can log in and do it using this system. Pay Slip. HR Policies.

9) Induction Movie
Employee is made to see an induction movie on the first day. It includes information about Saint-Gobain. It is shown to make him familiar with the organization and its culture. The induction movie includes: ? ? ? ? Introduction of business Introduction to various products. History of Saint-Gobain group. Market position of all Saint-Gobain businesses etc.

Induction Feedback Form

Induction feedback form is given to new joinee at the time of induction programme on the first day and the new joinee is expected to fill this form and submit after the completetion of induction programme.
